Admins, to see how a page shows to a "regular" rater, click the asterisk in front of "Welcome..." (under the MassGolf logo in the menu). Then, use the back button or click another link to return to the Admin look.
- Adding Events (Preliminary and Final ratings)
- Building Form 1s
- Adding Courses (if necessary)
- Editing Course Info and Holes (e.g., after Preliminary) as you want.
- After updating with preliminary info, on the Course page, click the Update button under Forms to force an update of all the forms.
- Adding/Editing Accounts, Groups (and sending email to groups)
Adding rating events
To add an event so that raters can indicate attendance, etc., go to the Events page.
When you click Add/Edit Events, you will get a listing of all the events (most recent first). Click the event name to edit it or click Add an Event at the top. Two important things:
- Be sure to select the right Course in the Edit form
- Be sure to check at least one group to connect the event to (otherwise it won't show to the raters).
The Add/Edit form has several fields:
- Emails. When adding or editing an event, you can have the system automatically send emails to people. By default, it sends no emails, but you can select that it sends to the group(s), those who said they were available, or only those assigned. If you choose to send emails, you will get additional fields for a custom subject and message.
- Name. Name the event, typically it's just the course name. The type (Final or Preliminary) will show on the listing of events automatically.
- Course. Select the course from the dropdown list. That list is generated automatically from all the active courses.
- Type. Select Final, Preliminary, Other.
- Day. Click the calendar icon and select the day.
- Time. Events default to 8 a.m.; click the clock icon to change it.
- Description. This is optional information you might want to tell raters (e.g., it is a tentative date, where to meet, etc.).
- Group. Which groups(s) is the event for. When team members login, they'll see the event. They can't see events of other teams.
- Status. Open (looking for raters), Closed (not looking for more raters), Set (the assignments have been set, and will be viewable by team members).
As an Admin, any time you click an event, you will also see a list of all the raters in the group(s) for that rating. You can update their availability by clicking Yes or No next to their names.
Also, as an Admin, you can click the course name in the heading and go right into the Course page. Similarly, on the course page, you should see links for the preliminary and final ratings for that course, making it easy to switch between Event and Course pages.
Building Form 1s
On the Course Edit page (click "Courses" and then click on the course name, or click on the course name in an event), you should have drop-down link at the top of the page that says "Reports." Click that and it reveals an Update button and the available reports, including Form 1s. Always click the Update button after updating data (e.g., after entering preliminary info or making rating assignments). The Update button generates new forms.
To make the Form 1s visible to the regular raters for a Final Rating, you must set the Event status to "Set." Otherwise, you can download the Form 1s and email them to raters.
Adding Courses (if necessary)
Click on the Courses link, and you will see a list of courses.
If the course you will be working with is not there, you will see at the top of the page a link to Add a Course.
On the ensuing page, you will see directions for downloading course data from CRS (if you don't have CRS access, reach out to Tom Giffin).
Editing Course Info and Holes
If you click on the Courses link, you get a listing of the courses and links to forms.
Clicking on the course name, will bring up the Course edit page. You have three drop down links (Reports, Final Rating Assignments, and Course Info) in addition to to a chart of the course holes.
- Reports. This is a listing of all the available reports (including Form 1s) and an Update button to generate updated reports. Be sure to click the Update button after editing information.
- Final Rating assignments. As people say they are available for a Final Rating, their names will appear in the drop down boxes under each Form 1. You can select their names and then click Make Assignments to save the assignments. When you Update the reports, the Form 1s will have their names. Important: To have the assignments show to the regular raters, you must Edit the final rating event to that its status is Set.
- Course Info. This is where to set the rough height and stimpmeter for the course. You can also upload a course map and append a PDF to the Completed Preliminary Form (should be letter size, landscape).
- Course Chart. By clicking on the Hole number on the chart, you are enter to enter Preliminary info for that hole.
You will also see a table of all the tees and holes and their yardages. This table automatically highlights those holes with a tee set that is within 25 yards (you can change this distance under the Course Edit form) of another tee set.
Clicking on the Hole number will bring up a form to edit all the Preliminary information, yardages, and elevations for this Hole
The one thing to pay attention to is "Skip Rating." If you enter something in this field, it will shade that hole green on the Form 1, and display whatever you type into the field. For example, if you wanted to skip rating the 4th hole from the White tees because it is the same distance as the Green tees, you might enter "Same as Green #4"
In this way, we make it clear on the Form 1s which holes to skip, but also have a note so that Tom or whoever is entering data in the CRS know why it was skipped.
Much of what gets filled out on the Hole edit form will be translated to adjustments or values on the Form 1.
If you click on a tee name on the Course page, it brings up the Tee edit form. Clicking the link "Convert to Nine Holes" will take the back nine and turn it into a front name with the tee name and "back" appended to it. You don't have to do this for a nine-hole course, but it may make it easier to figure out what needs to be rated.
The Tee edit form also allows you to rename a tee or add a New Tee.
View/Edit Accounts
This is the link to add, edit, or remove raters or groups
Clicking the link will bring up a page that lists all raters in alphabetical order by last name. Clicking any of the headings at top re-sorts the list.
If you click the blue "edit" icon at the left of each entry, that brings up the account edit form. Or to add an account, click Add an Account at the top of the list.
The account information is straightforward, just be sure that you add them to at least one team.
There are no minimum password requirements. By the same token, there's very little sensitive information (other than people's email, phone, and address) on this system.
By clicking on a group name, you can also edit the group info. That form also gives you the option of Sending an Email to the group or groups (if you check additional groups). This is a two-step process. Draft the email and click the groups in questions. Click the "Draft" button and on the ensuing page You can uncheck indivdual raters/accounts if you don't want those people to receive the email. Then click Send. You should see a list of all the emails sent.
